Enhancing the flow

Editing text is made much simpler with the new Adobe Acrobat XI

A new software program may not sound all that exciting but anyone who has struggled trying to edit a PDF document will welcome the arrival of the new Adobe Acrobat XI. Not only does this upgrade provide all the necessary tools for working with PDF documents, forms and electronic signatures, but it allows you to edit PDF files by simply clicking and dragging using the new, intuitive Edit Text and Images tool. You can find and replace text globally in a single move and reflow paragraph text without disturbing format. It's easy to do too, as Acrobat XI comes with intuitive pull-down menus and simple-to-use sidebar panels for providing easy access to various functions and tools.

But best of all, Acrobat XI allows you to move seamlessly between the application and Microsoft environments to work with content residing in cloud servers, on desktop computers and remote locations.

To facilitate this, Acrobat XI allows you to easily transform PDF files into reusable Microsoft PowerPoint documents. You can use Acrobat XI to join a group of completely editable Microsoft Office and web formats while preserving original document formats. That way, if you need to make major changes to the text of a PDF document, which means you cannot reformat, it's easy to export to another Office format then save again as a new PDF file.

Creating forms can be done easily from scratch or by customising templates using the included Adobe FormsCentral desktop app, which is now integrated in Acrobat XI solution.

Useful form templates include admissions application for a hospital, accommodation registration, client questionnaire, customer satisfaction survey, employee referral, and rental application.

The forms can be shared as fillable PDF or web forms that can be completed with a browser. You can also store the PDF files on Acrobat.com and have your co-workers or someone you designate fill in the PDF forms using the Acrobat Reader XI mobile installed on tablets and smart phones.

Acrobat XI is also now integrated with Adobe EchoSign electronic signature and web contract service, allowing you to send a contract in PDF file to be signed with hand-written signature on smart phones, tablets or desktop computers' touch screens. You can also send out documents for signature from your mobile devices.

Acrobat XI also allows you to access, manage and retrieve archived contracts and supporting documents stored securely in the cloud. To add trust that the content is genuine, you can also certify all PDF deliveries with the Adobe Certified Document Services stamp.

Acrobat XI also improves protection for PDF content with easier password protection no matter what application you are working in. After you have installed Acrobat XI, you will find the option to save any of Microsoft Office into a PDF file. Look at the middle bottom of the save window and you will see the option, labelled as "Protec PDF". Tick to quickly and easily set up document protection.

While working in Acrobat XI, you can protect a PDF document in just one step using the Restrict Editing tool in the Protection panel on the right-hand side.

Acrobat XI comes with a new feature called Guided Actions that helps you work on the same PDF document with several colleagues. You use Guided Actions to standardise routines that simplify complex processes and reduce error rates as well as to automate procedures that help you streamline workflow and create consistent PDF content every time. And a firm can use Guided Actions to maximise training resources by providing employees with precise ways to get work done fast.

To better support collaboration among colleagues, Acrobat XI now provides a feature to allow a firm to tailor the user interface by creating custom tool sets. Acrobat XI allows you to create a custom tool set that simplifies the user interface to feature the components in Acrobat needed to get more work done fast. You can also easily export a custom tool set to share with others or import from others to your own systems to facilitate a consistent workflow.

A nice new feature of Acrobat XI is that you can now easily organise and combine virtually any file, including rich media and forms, into a single, organised, PDF file no matter where the content resides. The file is then simple to send, open, view, and navigate. You can choose only parts of files for merging with a quick drag-and-drop action while preserving the integrity of the source file. It supports working with content residing in the cloud. You can use shortcuts to Microsoft SharePoint, Office 365 and Adobe online services to open, edit and combine content from the cloud files.

Acrobat XI will show the Combine Files dialog box in which you can drag and drop thumbnails to determine file order. You can also move files inside other multiple page files and choose which files or parts of the files you like to be shown in your final document.

And you can use Acrobat XI to easily create PDF picture frames and PDF portfolio. After you have installed Acrobat XI and registered your copy, Adobe will allow you to select a gift, including PDF Picture Frames or PDF Portfolio Templates, so that you don't have to work from scratch.

Our test was done using Adobe Acrobat Professional XI.

Adobe Acrobat Professional XI full version retails for Bt14,885 while the upgrade version is priced at Bt6,616. The Adobe Acrobat Standard XI full version retails for Bt9,923 and the upgrade version goes for Bt4,608. Prices do not include VAT.
